Position Description
The Chief Operating Officer (COO) is a strategically focused position that will manage the day-to-day operations to ensure that the organization achieves its desired goals and to grow its capacity for impact in the future. Reporting to the Board of Directors, this role is responsible for providing collaborative senior leadership to elevate Health by Design as a leader in the healthy communities field, fulfill the organization’s equity mission, ensure it long-term sustainability, and maintain a culture that supports a high-functioning and collaborative team.

Bringing a focus on internal systems and structure, the COO will oversee financial strategy, human resources and operations and ensure that all organizational processes and services are high-quality, efficient, effective, and mission focused. The COO will oversee organization-wide initiatives, develop and track progress against goals and partner with the Executive Director to communicate effectively with the staff, board, clients, donors, thought leaders and other external stakeholders. This opportunity is for someone who takes pride in ensuring best-in-class organizational and programmatic operations.

This is a full-time position. Compensation for this position is expected to begin at $90,000 annually, depending on education and experience. The organization offers excellent benefits including comprehensive individual insurance, retirement match, paid personal time off, and and at least 13 paid holidays per year.  This position relies on long-term funding through grants and contracts.

Education & Experience
A master’s degree with a focus on non-profit management is preferred. Applicants should have a minimum of 8-10 years of related professional experience showing progressive advancement in organizational management responsibilities.

Proficiency in the use of Microsoft Office programs and standard office equipment is required. Experience with accounting, communication and database platforms is expected, including QuickBooks. Business Acumen and Strategic Financial Management

The COO will demonstrate aptitude in establishing a strong business model supported by systems and structures to ensure its successful execution. With experience guiding the financial strategy for an organization, they will bring a focus on long-term sustainability and diversification of revenue. They will have a proven ability to use financial and operational metrics to drive organizational decisions and implement a culture of continuous improvement and learning.

Relationship Builder and Influencer
The COO will bring experience working with diverse stakeholders and coalitions and be seen as a good partner who stays focused on the goal at hand. Internally, they will have demonstrated the ability to lead teams to successful outcomes while being deeply committed to the personal and professional growth of the staff. With the ability to engender trust through listening and respect, they will lead by example in all areas. Bringing exceptional communication skills, they will foster an atmosphere of collaboration, learning and partnership, both internally and externally.
The COO will have experience working with diverse community partners; a deep understanding of the principles of equity, inclusiveness, and power across multiple dimensions (such as race, ethnicity, ability, gender, sexual orientation, income and place); and life and/or professional experience working across those dimensions. Comfortable with a variety of settings, the COO will be a genuine and trustworthy ambassador for the organization in all interactions.

Key responsibilities include:

Strategic Vision and Organizational Leadership

Collaborate with the Executive Director, staff, and key advisors to create a strategic framework and corresponding systems that will guide investments of the organization time and resources (budget, staff, priorities) in service of Health by Design’s vision and mission.

Lead organizational assessments of effectiveness, including an internal annual feedback process, to ensure the delivery of high-quality services while managing for current and future growth.

Work with all staff to ensure organizational effectiveness.

Serve as the lead organizational representative in the Executive Director’s absence.

Collaborate with the Executive director to co-lead comprehensive marketing, branding, and business development strategies designed to maintain and expand the organizations’ presence in the field while ensuring it financial sustainability.

Accounting, Financial Planning, and Sustainability

Provide strategic financial oversight, in collaboration with the Executive Director, designed to maintain the overall financial health of the organization.

Oversee financial systems for accounting and financial reporting to the Board of Directors, grantors, and other interested parties.

Collaborate with the Executive Director and other staff to develop and monitor proposals, budgets, contracts, staffing plans, financial reports, progress reports and long-term financial projections.

Oversee day-to-day accounting functions such as bill pay, invoicing, and collections, as well as an annual audit and tax filings.

Manage the organization’s lease, relationship with building management, and facility needs.

Work with the Executive Director to strengthen the team’s collective capacity to raise revenue and meet long-term goals.

Human Resources

Contribute to an organizational culture that supports a high -functioning collaborative and mission-driven team and values work-life balance.

Collaborate with the Executive Director to implement strategies that facilitate professional development, leadership development and continuous learning for all employees.

Manage hiring and recruiting staff, staff performance, and improvement systems, and contribute to a culture that emphasizes quality, continuous improvement and high performance.

Supervise and conduct annual performance reviews.

Manage professional employer organization (PEO) to cost-effectively ensure satisfactory results for the staff team.

Manage contracted information technology services to ensure the needs of the organization are met in a timely manner.

Project Leadership and Consultation

Lead and/or provide support to team leads on high-quality and equity-focused consultation projects (i.e. strategic thinking and planning, technical assistance, facilitation and other support).

Maintain the organization’s reputation as a thought leader in the field by maintaining content expertise and remaining at the forefront of emerging issues in the healthy communities field.

Lead special projects as needed (e.g. facilitate strategic planning efforts, develop new training programs, and create standard operating procedures).

Position Description

 

The Program & Policy Coordinator/Manager will provide leadership and have shared responsibility for the development, implementation, evaluation and sustainability of Health by Design’s walking, biking, transit, and land use efforts, with a focus on Safe Routes to School and other active transportation safety initiatives. The position will work closely with partners, stakeholders and community members in Marion County, throughout Indiana, and beyond.

 

This is a full-time position, and it is possible that more than one Coordinator/Manager will be hired. The position title (Coordinator or Manager) will be determined by experience level. The position will require in-state travel, and limited out-of-state travel may be necessary for training opportunities. Some evening and weekend hours will be necessary. 

Compensation is expected to be $55,000 to $85,000 annually, depending on education and experience. The organization offers excellent benefits including comprehensive individual insurance, retirement match, paid personal time off, and at least 13 paid holidays per year. This position relies on long-term funding through grants and contracts.

 

Education & Experience

A bachelor’s degree is expected, along with at least five years of related work and/or volunteer experience; a master’s degree may be substituted for two years of experience. A high school diploma and seven years related work and/or volunteer experience in the areas below may also be substituted. Candidates with professional certifications (AICP, PE, RLA, CPH, CHES) are encouraged. Proficiency in the use of Microsoft Office programs and standard office equipment is required; a working understanding of ArcGIS is a plus.

The ideal candidate will have knowledge of and experience in one or more disciplines related to the broad definition of health and/or the built environment (e.g. public health, planning/design/engineering, community economic development, public policy/affairs/administration, social work, etc.). Experience working with and managing grants, preparing project reports and working with public agencies would be helpful.

Position Duties

The Program & Policy Coordinator/Manager will provide leadership and have shared responsibility for the development, implementation, evaluation and sustainability of Health by Design’s walking, biking, transit, and land use efforts, with a focus on Safe Routes to School and other active transportation safety initiatives. Responsibilities will include activities and tasks across several broad categories: assessment and information gathering; public and partner involvement; outreach, engagement and communications; training and technical assistance; interventions and implementation; and evaluation and sustainability.

The Program & Policy Coordinator/Manager will be responsible for activities and tasks including, but not limited to:

  • Building relationships and working with federal, state and local public agencies; community-based organizations; partner and stakeholder groups; and the public at large
  • Designing, planning, and conducting community outreach and engagement
  • Knowing and understanding active transportation best practices and serving as a subject matter expert
  • Conducting needs assessment and information gathering processes
  • Identifying, developing and using surveys, data, mapping and other technology resources
  • Organizing and providing education, training and technical assistance
  • Researching, updating and developing materials and resources
  • Developing and delivering presentations at meetings and conferences
  • Understanding, navigating and advancing federal, state and local transportation planning, policy and funding
  • Developing state and local active transportation and Safe Routes plans
  • Facilitating action planning and implementation
  • Managing mini-grants and other awards to local schools and communities
  • Developing recommendations for long-term program sustainability
  • Grant management, budgeting and reporting
  • Embedding equity principles and practices in all activities

 

The Program & Policy Coordinator/Manager will support organizational and project communications strategies, including emails and project communications; content for newsletters, materials, presentations, and social media tools; presenting at meetings and conferences; and media advocacy.

The Program & Policy Coordinator/Manager will support and assist Health by Design’s broader efforts including strategic plan implementation, committee and action team activities, events, and advocacy.

The Program & Policy Coordinator/Manager will represent Health by Design at partner meetings and events.

The Program & Policy Coordinator/Manager will monitor, track, evaluate and report activities and impact.

The Program & Policy Coordinator/Manager will be responsible for other duties, as assigned.
